When you connect your inbox to HubSpot, every email you send or receive from a contact gets logged directly on their record. Sales reps stop switching between Gmail and HubSpot. Managers can see conversation history without asking for a summary. Follow-up reminders fire because the CRM knows what happened.
This guide covers the setup process and what to expect once logging is active.
In your HubSpot portal, navigate to the Settings icon in the top navigation. Under Integrations, select Email Integrations. This is where you connect your personal inbox.
Click Connect your inbox. Select your email provider and complete the OAuth flow. HubSpot requests read and write access to log emails on behalf of each user.
For Gmail, install the HubSpot Sales Chrome extension. For Outlook, use the HubSpot Sales Office add-in. This places the HubSpot sidebar inside your inbox so you can log emails and access contact records without leaving your email client.
Navigate to Settings and then General to set your default logging behaviour. You can choose automatic logging for all existing contacts or manual logging on a per-message basis. Enable open and click tracking from the same screen.
Send a test email to a contact already in HubSpot. Open that contact record and check the Activity timeline. The email should appear within a few seconds of sending. If it does not appear, confirm that the browser extension is active and that the contact email address matches exactly what is in the CRM.
What does connected email actually log?
Once connected, HubSpot logs all outbound and inbound emails for contacts already in your CRM. Emails to addresses not yet in HubSpot are not captured automatically unless you manually prompt the log action.
Each logged email appears on the contact’s Activity timeline with the full message body and timestamp. If you have email tracking enabled, you also see open and click notifications when the contact engages with your message.
The connected email does not sync your entire inbox retroactively. Only emails sent or received after the connection is active get logged. Past email history stays in your email client.
How is connected email different from marketing email?
Connected email handles one-to-one sales and relationship conversations. Marketing email is sent through HubSpot’s marketing tools to large lists. It has built-in unsubscribe compliance and dedicated sending infrastructure that connected email does not use.
A sales rep uses connected email to follow up after a demo. A marketer uses HubSpot email to send a monthly newsletter. Both appear on the contact record but are managed separately with different permissions controlling each.
If you are setting up HubSpot Sequences for automated outreach, those emails are sent from your connected inbox on behalf of each rep. Replies land in the rep’s inbox and get logged automatically. This is a common setup for outbound sales teams across Southeast Asia.
Can multiple team members connect their own inboxes?
Yes. Each HubSpot user connects their own personal inbox. There is no shared inbox sync at the individual email level. Team addresses like sales@ or support@ are handled separately through the HubSpot Conversations Inbox. That tool connects a shared address and routes incoming messages to the right team member.
For most teams, the practical setup is personal inboxes connected per rep for outbound sales and a shared team inbox in HubSpot Conversations for inbound enquiries. These two channels complement each other without overlapping.
What about LINE and other messaging channels common in Southeast Asia?
HubSpot’s connected email is designed for Gmail and Outlook. LINE OA conversations are handled through a separate integration. If your team uses LINE to communicate with prospects, a dedicated LINE-to-HubSpot connector is needed to route those messages into HubSpot Conversations.
This distinction matters for teams in Thailand where LINE is a primary business communication channel. The email connection covers email only; LINE requires its own integration path.
Common issues and how to fix them
The most common issue is emails not appearing on the contact record. This usually happens because the contact does not yet exist in HubSpot or because the browser extension has been paused. Check that the extension is active and that the contact email address matches exactly what is in the CRM.
Another common issue is open tracking not firing as expected. Email clients that pre-load images or use a privacy proxy may trigger open events immediately on delivery or not at all. This is a limitation of pixel-based tracking rather than a configuration error.
If you see emails logged as duplicates, check whether both the extension and the BCC drop-box are active at the same time. Using both can cause double logging. Pick one method and disable the other.
How does connected email support the broader CRM workflow?
The value of connected email is context. When a rep opens a contact record before a call, they see the full email history without needing to ask a previous owner for a summary. Managers reviewing deals see exactly what was communicated at each stage.
HubSpot workflows can also use email activity as an enrollment trigger. A contact who has not replied in seven days can be enrolled in a task reminder automatically without any manual tracking. This kind of lightweight automation is covered in the guide to HubSpot automation workflows.
Paired with HubSpot’s email marketing tools, connected email centralises all touchpoints on a single contact record. Every marketing send and every individual sales conversation is visible in one place.
Frequently asked questions
Does connecting my inbox give HubSpot access to all my emails?
HubSpot reads emails associated with CRM contacts. It does not scan your entire inbox or store personal emails unrelated to contacts in your portal.
Can I log emails from my phone?
The HubSpot mobile app allows manual logging of emails. Automatic inbox sync requires the desktop browser extension rather than the mobile app.
What happens if I disconnect my inbox?
Emails already logged remain on the contact records. New emails will not be logged until the inbox is reconnected. Existing sequence enrolments pause for the affected user.
Is the connected email available on the free HubSpot plan?
Basic email logging is available on HubSpot’s free tier. Open and click tracking require a paid Sales Hub plan. The full Sequences feature is also Sales Hub only.
