The HubSpot contact record is the central view for every person in your CRM. It brings contact details and the full activity history together in one place, with linked deals and tickets accessible from the same screen. Sales teams use it to prepare for calls. Marketing teams use it to understand how a contact has engaged. Service teams use it to see the full relationship before opening a ticket.
This guide covers each section of the contact record and how to use them effectively.
The left column displays the contact’s core properties and any custom fields your team has added. Click any value to edit it directly. Use the property group selector to switch between sections if you have organised properties into groups.
The timeline logs every interaction with this contact, from emails and calls to form submissions and page views. Use the filter tabs above the timeline to show a specific activity type. For contacts with long histories, filtering is what keeps the record usable.
The right column shows connected objects: the company the contact belongs to, open deals and active tickets. You can create a new deal or ticket directly from here without leaving the contact record.
This tab groups all one-to-one emails and logged calls exchanged with the contact, along with any connected channel messages (WhatsApp or LINE). Any team member can read the full conversation history before reaching out, which avoids repeated questions and improves follow-up quality.
What does the activity timeline track?
The timeline is the most useful part of the contact record for anyone handling outreach or account reviews. It logs the following:
- Emails: Sent, opened, clicked, bounced, or replied to. If you have email tracking enabled, you see the exact time a contact opened a message.
- Calls: Logged manually or through HubSpot’s calling tool. If conversation intelligence is active, recordings and transcripts appear in the timeline.
- Meetings: Booked through the HubSpot meetings link or logged manually after a call.
- Form submissions: Every form the contact completed on your website, including the values submitted in each field.
- Page views: Site visits logged when the HubSpot tracking code is installed (within the limits your cookie consent settings allow).
- Workflow enrollments: When the contact entered a workflow, which actions fired, and whether they exited early.
- Notes: Internal records your team has added manually.
Use the search bar in the timeline to find a specific email subject or note keyword. For contacts with years of activity, this saves significant time over scrolling.
How do contact properties work?
Properties are the fields that describe a contact. HubSpot provides a large set of defaults (name, email and job title among others) and lets you create custom properties for anything specific to your business or region.
Properties are organised into groups in the left sidebar. You can control which groups appear and in what order through Settings > Objects > Contacts > Record Customisation. This lets you surface the fields your team checks most often without scrolling past irrelevant ones.
Several properties update automatically. Last Activity Date refreshes whenever a new event is logged. Lifecycle Stage can advance via workflow rules. HubSpot’s lead scoring (if configured) writes back to a score property as engagement changes. Keeping these automated updates accurate means your reports reflect real data rather than manual estimates.
How are deals and tickets connected to a contact?
The right panel shows every deal linked to the contact (open or closed) and any active support tickets. For a contact who has both bought from you and raised a service issue, you see both records in the same view without switching objects.
To create a new deal from the contact record, click “Create deal” in the Deals section of the right panel. HubSpot pre-fills the contact association automatically. The same works for tickets: click “Create ticket” and the contact is already linked.
If the contact belongs to a company, associated deals and tickets are also visible from the contact view (depending on association settings).
What is lifecycle stage and why does it matter?
Lifecycle stage tracks where a contact is in their relationship with your business. HubSpot’s default stages run from Subscriber through Lead and then to Customer and Evangelist, with sales-qualification stages in between.
HubSpot updates lifecycle stage automatically in some situations: a contact moves to Customer when a linked deal closes as won. You can also set up automation workflows to advance the stage based on specific activity thresholds or property values.
Marketing teams segment their email sends and campaigns using lifecycle stage. Sales teams filter their contact views to show only qualified leads. The reliability of both depends on lifecycle stage being accurate. If the field is updated manually and inconsistently, segment-based outreach stops being meaningful.
How do you log activity from the contact record?
The action bar at the top of the timeline lets you log a call, add a note or send a one-to-one email directly. Which options appear depends on your HubSpot subscription level.
If your team sends email from Gmail or Outlook, connect the HubSpot Gmail or Outlook integration. With the browser extension installed, you can log individual emails to the contact record with one click. Alternatively, BCC your portal’s log address and HubSpot captures the email automatically. Either approach keeps the timeline complete without requiring your team to work inside HubSpot’s email editor.
Can you customise what appears on the contact record?
Yes. Settings > Objects > Contacts > Record Customisation lets you control which property groups appear in the left sidebar and which panels appear on the right. On some plans, you can create different record views for different user roles.
A customised record layout reduces the time your team spends searching for information during a call or account review. It also makes the record easier to hand off between team members, since everyone sees the same structure.
Frequently asked questions
Can two people be the contact owner?
The Contact Owner field holds a single user. If your team uses shared ownership, add a secondary owner custom property or use HubSpot Teams to group users and filter views by team.
Does the contact record show LINE and WhatsApp messages?
Yes, if you have the LINE integration or WhatsApp Business integration connected through the HubSpot conversations inbox. Messages from those channels appear in both the communications tab and the activity timeline. This is one of the main reasons Southeast Asian teams connect those channels to their CRM: all conversations are visible in one place regardless of which channel the contact used.
What happens if the same person has two contact records?
Both records exist separately until merged. HubSpot’s deduplication tool identifies pairs with matching email addresses or phone numbers and lets you merge them, combining property values and timeline history into a single record.
Can you see which marketing emails a contact has received?
Yes. The timeline includes every marketing email sent to the contact, with open and click status. You can also view the contact’s Email Subscriptions panel to see which email types they are currently opted into.
