HubSpot’s Conversations inbox gives your team one shared workspace for emails, live chat, WhatsApp, LINE, and web forms. Instead of leads landing in individual inboxes and getting missed or handled inconsistently, every message arrives in one place, routed to the right person, with full contact history attached.
This guide covers how to connect your channels, configure routing, and manage conversations as a team. A basic setup takes less than an hour.
In HubSpot, go to Settings > Inbox > Inboxes. Click “Create inbox”, give it a name (e.g. Sales Enquiries or Support), and choose which team members have access. You can create multiple inboxes to separate sales and support flows.
Add a connected email address — typically a shared alias like sales@yourcompany.com or info@yourcompany.com. HubSpot receives messages from this address and sends replies from it, so contacts see a team address rather than an individual’s inbox.
From the same inbox settings, connect live chat (a chat widget embedded on your website), Facebook Messenger (via your business Page), or WhatsApp Business. Each channel you add feeds into the same shared inbox alongside email.
Decide how new conversations get assigned: to a specific team member, distributed across the team via round robin, or left unassigned for agents to claim. You can set different routing rules per channel — for example, web chat goes to sales, support@ email goes to the customer success team.
The inbox works only if your team treats it as the primary place to respond. Define expected response times, clarify who handles which channel, and encourage use of HubSpot’s mobile app for replies on the go.
What channels can you connect to HubSpot Conversations?
HubSpot Conversations supports several inbound channels natively:
- Team email — a shared address your whole team sends and receives from. When a contact replies, the thread stays inside HubSpot rather than an individual’s personal inbox.
- Live chat — a chat widget on your website. Visitors start a conversation from any page; it appears in the inbox immediately and can be routed to an available agent or bot.
- Facebook Messenger — connect your business Page and manage Messenger conversations alongside email and chat. Replies go back through Messenger.
- WhatsApp Business — available on eligible HubSpot plans through HubSpot’s native WhatsApp integration.
- Form submissions — HubSpot forms can create conversations on submission, keeping post-enquiry follow-up in the same workspace as other messages.
For LINE OA — the dominant messaging channel across Thailand, Malaysia, Taiwan, and much of Southeast Asia — the connection runs through a third-party integration or a partner connector rather than a native HubSpot channel. Once connected, LINE conversations appear in the Conversations inbox alongside email and chat, and each thread is linked to the contact’s record in the CRM. If you rely heavily on LINE for inbound enquiries, getting this integration configured is a priority before building the rest of your Conversations setup. See the HubSpot LINE integration guide for setup details.
How does conversation routing work?
When a message arrives, HubSpot assigns it based on routing rules you set per channel. The main options are:
- Assign to a specific agent or team — every conversation on that channel goes to the same person or group. Useful for dedicated sales or support functions.
- Round robin — distributes conversations evenly across available team members. Works well for sales teams where any member can handle a new lead without a queue building up behind one person.
- No automatic assignment — conversations land unassigned and team members claim them. Manageable for small teams; tends to create gaps at higher volume.
You can layer routing with business hours — conversations received outside working hours can go to a fallback agent, trigger an automated response, or be queued for the next available person. This is useful for teams in Bangkok that receive enquiries from multiple time zones.
What does a conversation look like inside the inbox?
Each conversation shows the full thread on the left. On the right, HubSpot displays the contact’s CRM record: past emails, calls, meetings, form submissions, and any deals or tickets linked to them. Your team sees full context without switching between tools.
From inside a conversation, agents can:
- Reply via the same channel the contact used
- Add internal notes visible only to the team (not sent to the contact)
- Create a deal, task, or ticket associated with the conversation
- Use saved snippets to insert standard responses quickly
- Transfer the conversation to another team member or close it when resolved
The right-hand contact panel is the key difference between a shared CRM inbox and a plain shared email account. Every agent knows who they are talking to and what has already been discussed, regardless of who handled previous messages.
How does HubSpot Conversations support sales follow-up?
For inbound leads, the inbox speeds up response and ensures no enquiry goes unhandled. When a prospect fills in a form, starts a chat, or sends an email, the conversation appears in the inbox immediately. A deal can be created from it in a few clicks, and the sales rep can start the follow-up sequence without leaving HubSpot.
For outbound sequences, when a sales rep sends a follow-up email from a contact record in HubSpot, the reply comes back into the Conversations inbox rather than their personal inbox. The full thread stays in one place, visible to the whole team and tied to the contact record.
This is particularly useful for teams managing high volumes of enquiries across LINE, WhatsApp, and email — channels that would otherwise scatter conversations across different apps. Keeping everything in HubSpot means every message is attached to a contact, trackable, and visible to whoever needs to pick it up. You can see how HubSpot contacts management works alongside the inbox to build a complete picture of each lead.
Can you automate responses inside Conversations?
Yes. HubSpot’s chatbot builder lets you create automated responses for the live chat channel — handling common questions, collecting contact details before routing to an agent, or directing visitors to the right team. Bots respond instantly, then hand off to a live agent when the enquiry needs a human.
For email, HubSpot workflows can send automated replies when certain conditions are met — for example, sending a confirmation when a form is submitted, or notifying a sales rep when a lead opens a message. The HubSpot automation workflows guide covers how to set up these sequences in detail.
Automation in Conversations works best for the first point of contact — acknowledging the enquiry and setting expectations. Keeping a human in the loop for substantive replies maintains the relationship quality that most B2B and service businesses need.
What are the practical limits of HubSpot Conversations?
The inbox handles tens to a few hundred conversations per day well. Teams with very high support volume — multiple thousands of tickets per week — often need more structured SLA management, escalation workflows, and detailed queue reporting than Conversations provides natively. That level of sophistication lives in Service Hub or a dedicated helpdesk tool.
For most small and mid-sized teams in Southeast Asia, the inbox is sufficient: it centralises inbound enquiries, keeps full context on each contact, and gives the team visibility without requiring separate tools for each channel. Starting simple — one shared email, live chat, and basic routing — and adding channels as volume grows is a sound approach.
Frequently asked questions
Is the Conversations inbox included in HubSpot’s free CRM?
Yes. A basic inbox with one connected email and a live chat widget is available on HubSpot’s free plan. Additional inboxes, WhatsApp, advanced routing, and detailed reporting require a paid plan.
Can multiple team members reply from the same inbox?
Yes. All team members with inbox access can see and reply to conversations. Replies can be sent from the shared team alias (e.g. sales@yourcompany.com) or from an individual’s connected personal work address, depending on your setup.
Does the Conversations inbox replace a helpdesk tool?
For teams that primarily manage sales enquiries and straightforward customer questions, yes — the inbox handles this well. For teams running structured support with SLAs, complex escalation paths, and CSAT measurement, Service Hub’s ticketing system adds the structure needed. Many teams use both: the inbox for sales conversations and tickets for support.
What happens to contacts who message via a channel we haven’t used before?
HubSpot matches incoming messages to existing contacts using email address, phone number, or messaging ID (depending on the channel). If no match is found, it creates a new contact automatically. You can then enrich the record with additional details as the conversation continues.
How do we handle LINE enquiries if HubSpot doesn’t have a native LINE channel?
The most common approach is a third-party integration that bridges LINE OA and HubSpot’s Conversations inbox. This creates a LINE channel inside the inbox, routing messages the same way as email or chat. Alternatively, some teams use HubSpot automation triggered by LINE events logged by a custom integration. Either way, the goal is to attach every LINE conversation to a contact record in HubSpot so nothing is tracked in isolation.
