HubSpot Knowledge Base: How to Build and Manage a Self-Service Help Centre

August 24, 2026 · 5 min read

HubSpot’s knowledge base tool gives your support team a place to publish help articles that customers can find on their own, without opening a ticket. Set it up correctly and it cuts repetitive support volume, while also giving chatbots something useful to surface when customers ask questions before a human is available.

What Is the HubSpot Knowledge Base?

The HubSpot knowledge base is a hosted, searchable article library available in Service Hub. Each article is a standalone page on your subdomain (typically knowledge.yourdomain.com) with a title, body content, category, and optional subcategories. Visitors can search across all articles or browse by category. HubSpot tracks views, search terms with no results, and article ratings so you can improve coverage over time.

The knowledge base connects directly to the HubSpot chatbot: if a visitor asks a question in the chat widget, the bot can surface a matching article before escalating to a human. It also feeds into ticket workflows, letting agents attach relevant articles to replies from inside the ticket view.

What Do You Need Before You Start?

  • Service Hub Starter or above. The knowledge base is a Service Hub feature and is not available on the free plan.
  • A custom domain (optional but recommended). HubSpot provides a default subdomain, but mapping knowledge.yourdomain.com gives a cleaner brand experience.
  • A list of your most common support questions. Check your existing tickets, email threads, or chat logs. These become your first batch of articles.

How Do You Set Up the Knowledge Base Step by Step?

1

Enable the knowledge base in Service Hub settings.
Go to Settings > Website > Knowledge Base. Choose your subdomain or connect a custom domain. Select the default language for your base.

2

Create your category structure.
Categories are the navigation backbone of your knowledge base. Aim for four to eight top-level categories that match how customers think about your product, not how your internal teams are organised. Common examples: Getting Started, Account Settings, Billing, Troubleshooting, Integrations.

3

Write your first articles.
Pull your ten most common support questions and write one article per question. Keep each article focused on a single task or concept. Use numbered steps for processes, screenshots where the UI is not obvious, and a short summary at the top. Aim for clarity over length.

4

Publish and test the search function.
Once published, type each article’s target question into the knowledge base search bar. Confirm the article surfaces. If it does not, check that the article title and intro match the phrasing customers actually use.

5

Connect the knowledge base to your chatbot.
In the HubSpot chatflows builder, add a knowledge base search step to your bot flow. When a visitor types a question, the bot will suggest matching articles before routing to a live agent or form.

6

Link the knowledge base from your shared inbox.
In the conversations inbox, agents can attach knowledge base articles to any reply. This shortens response time and keeps answers consistent. Enable this in Settings > Inbox > Knowledge Base Integration.

How Do You Keep the Knowledge Base Accurate Over Time?

The HubSpot knowledge base analytics panel shows you which articles get the most views, which searches return no results, and how articles are rated by readers. Review this data monthly.

  • No-result searches are gaps. Each one is a topic your customers need that you have not written yet. Add these to your content backlog.
  • Low-rated articles need rewriting. If readers consistently mark an article unhelpful, the problem is usually missing steps, outdated screenshots, or a title that does not match the problem the customer has.
  • High-view articles with low deflection may mean the answer is in the article but hard to find. Try adding a short summary at the top or breaking the article into a numbered list.

What Are the Most Common Knowledge Base Mistakes?

  • Organising by internal department instead of customer task. Customers do not know which team owns which function. Structure categories around what the customer is trying to do.
  • Writing articles that are too long. A five-hundred word answer to a common question will get read. A two-thousand word article covering five related topics will be skipped. One article, one question.
  • Publishing and forgetting. Product changes without knowledge base updates create a support burden worse than having no knowledge base at all. Assign someone to review articles whenever the product changes.
  • Not connecting it to the chatbot or inbox. The knowledge base adds the most value when it surfaces automatically in the channels where customers already ask questions.

Frequently Asked Questions

  • Can customers submit feedback on individual articles? Yes. HubSpot adds a thumbs-up/thumbs-down rating widget to each article. Ratings feed into the knowledge base analytics dashboard.
  • Can I restrict access to certain articles? Yes. Articles can be set to public, private (logged-in contacts only), or password-protected. This is useful for onboarding content or partner-specific guides.
  • Does the knowledge base support multiple languages? Yes. You can create separate article versions for different languages and set language preferences per portal. This is useful for teams serving markets across Southeast Asia.
  • Can I import existing articles from another platform? HubSpot does not have a bulk import tool for knowledge base articles. For large migrations, you will need to use the API or create articles manually.
  • How does the knowledge base interact with tickets? When a ticket is created, HubSpot can suggest related knowledge base articles in the sidebar. Agents can insert article links directly into ticket replies.
