HubSpot Lists: How to Build and Use Contact Lists for Smarter Targeting

July 11, 2026 · 6 min read

HubSpot lists let you segment your contact database so your marketing, sales, and service teams are always working with the right group of contacts. If you have set up your CRM and captured leads through forms, the next practical step is organizing those contacts into lists that drive your campaigns, workflows, and follow-up sequences.

This guide covers the two types of lists HubSpot offers, how to build them step by step, and how teams across Southeast Asia use them to run more targeted outreach.

1

Go to Contacts > Lists

In your HubSpot portal, navigate to Contacts in the top menu, then select Lists. Click “Create list” in the upper right corner.

2

Choose active or static

Active lists update automatically as contacts meet or leave your criteria. Static lists capture a fixed group at a point in time and do not update. Pick the type that matches how you plan to use the list.

3

Set your filters

Filter by contact properties, form submissions, lifecycle stage, email engagement, page views, or deal activity. Combine multiple filters with AND/OR logic for tighter segmentation.

4

Name and save the list

Use a clear, descriptive name such as “Bangkok leads — last 30 days” or “Demo requested, not yet in pipeline.” Click Save list.

5

Use the list in campaigns or workflows

Reference this list as a target audience for a marketing email, a workflow enrollment trigger, a task queue, or an A/B test segment.

What Are the Two Types of HubSpot Lists?

Active lists update in real time. When a contact meets your defined criteria, they are added to the list. When they no longer meet it, they are removed. Use active lists for ongoing campaigns, lifecycle-based automations, and any segment that needs to stay current without manual work.

Static lists capture a snapshot of contacts who meet your criteria at the moment you save the list. New contacts who later match the criteria are not added automatically. Use static lists for one-time email sends, historical audits, or promotions with a defined end date.

If you are not sure which to use, start with an active list. It stays accurate without manual updates and works cleanly as a workflow trigger.

Which Filters Are Most Useful for SEA Teams?

HubSpot’s filter library is broad. The most commonly used filters for teams in Southeast Asia:

  • Contact property: City / Country — segment by geography for region-specific campaigns or LINE OA messages targeted to Bangkok, Singapore, or Kuala Lumpur contacts
  • Form submission — target contacts who submitted a specific form, such as a demo request or content download, to start a relevant nurture sequence
  • Lifecycle stage — separate leads from marketing-qualified leads from customers so each group receives the right message
  • Last activity date — identify contacts who have gone quiet over a set number of days for re-engagement outreach
  • List membership — layer lists to create precise sub-segments (contacts in List A but not in List B)
  • Email engagement (open / click) — reach engaged contacts quickly for hot follow-up, or exclude non-openers from future sends to protect your sender reputation

How Do Lists Connect to Workflows?

Active lists are the most common workflow enrollment trigger. When a contact meets the list criteria, they are enrolled in the workflow automatically. This is how most teams in Southeast Asia set up their automation:

  • Lead nurture sequences triggered the moment a form is submitted
  • Re-engagement campaigns for contacts inactive for 90 days or more
  • Sales handoff notifications when a lead reaches marketing-qualified status
  • Internal task creation when a high-value company joins a segment

Using a list as the enrollment trigger is usually cleaner than setting complex filters inside the workflow itself. When you need to adjust the audience, you update the list once, and every workflow that references it picks up the change.

What Are Practical Use Cases for Lists in Southeast Asia?

LINE OA follow-up segment: Create an active list of contacts sourced from LINE OA who have not yet been contacted by sales. Use this list to trigger a welcome sequence and assign a contact owner in Bangkok or Singapore. Because LINE is the primary messaging channel across Thailand and parts of Malaysia, routing these contacts into a dedicated list keeps them separate from web form leads and ensures the right follow-up.

Event attendees: After a seminar, webinar, or trade show, import attendee data as a static list. Send one follow-up email, then build an active list of contacts who clicked or opened to enroll them in a deeper nurture track.

Re-engagement for long B2B sales cycles: B2B deals in Southeast Asia often take three to six months to close. Build an active list of contacts who last engaged more than 60 days ago and have not advanced in the pipeline. Enroll them in a low-frequency check-in sequence to keep the relationship warm without overwhelming them.

Customer upsell segment: Use lifecycle stage (Customer) combined with a product or service property to identify which customers do not yet use a related offering. Target this group with relevant content or a direct outreach from their account owner.

How Many Lists Can You Have in HubSpot?

The limit depends on your subscription tier. Free and Starter plans include a smaller number of active lists. Professional and Enterprise plans allow significantly more active lists, and static lists are generally uncapped across all tiers. Check your current limits under Settings > Account > HubSpot subscriptions.

If you are approaching your active list limit, audit your existing lists. Delete or convert to static any lists that no longer serve a live campaign or workflow — this frees up capacity without losing the underlying contact data.

Frequently Asked Questions

Can I export a HubSpot list?
Yes. Open the list and click Export to download a CSV. You choose which contact properties to include in the export.

Can I build lists for companies, not just contacts?
Yes. HubSpot supports company lists as well. You filter by company properties such as industry, employee count, country, or lifecycle stage. Company lists work the same way as contact lists and can trigger company-based workflows.

Do list contacts count toward my marketing contact limit?
List membership itself does not determine marketing contact status. A contact becomes a marketing contact when they receive a marketing email. If you send a marketing email to a list, those contacts count toward your subscription’s marketing contact limit.

Can I exclude contacts from a list?
Yes. Add an exclusion filter to your criteria: contacts who meet condition A AND do NOT meet condition B. For example, include all contacts in Thailand AND exclude contacts who are already customers.

What happens to my contacts if I delete a list?
The contacts remain in your CRM. Only the list segment is deleted. Any workflows that used the deleted list as an enrollment trigger will need to be updated to reference a new list or a different trigger.
