HubSpot Notes: How to Log and Use Notes in Your CRM

July 21, 2026 · 6 min read

HubSpot Notes let you log written context directly against a contact, company, deal, or ticket record. They appear on the activity timeline alongside emails, calls, and meetings, so any team member picking up a conversation can see what happened and what matters, without having to ask.

This guide covers how to create and format notes in HubSpot, how to associate them with the right records, and what good note-taking practice looks like for sales and customer-facing teams in Southeast Asia.

1

Open the record

Go to any contact, company, deal, or ticket in HubSpot. In the activity section on the left panel, click the Note tab.

2

Type your note

Write what happened: a call summary, a follow-up reminder, a concern raised by the prospect, anything the next person needs to know. Use plain sentences, not shorthand only you understand.

3

Associate additional records

Use the “Associate with” field to attach the note to related records, a deal and a company on the same note, so it surfaces in both timelines.

4

Pin it or tag a colleague

Pin important notes to the top of the timeline so they stay visible. Use @mentions to notify a colleague who needs to act on it.

5

Save

Click Save note. The note timestamps automatically and appears in the activity feed for anyone with access to the record.

Where do HubSpot Notes appear?

Notes sit on the activity timeline of whatever record you attach them to. If you associate a note with a contact and a deal, it shows on both timelines. You can filter the timeline to show notes only, which is useful when you want to review context before a call without scrolling past emails and tasks.

Notes are also searchable. In HubSpot’s global search, you can search for text inside notes, which makes it practical to find a record based on something a prospect said, even if you do not remember their name.

What should you put in a note?

The most useful notes are brief and actionable. A note that says “called, left voicemail” tells the next person nothing. A note that says “called Tuesday at 2pm, left voicemail mentioning the Q3 budget discussion, follow up Wednesday with the pricing breakdown” tells them everything they need to pick up without asking.

Good note content for sales teams in Southeast Asia often includes:

  • Language preference noted in the call (Thai, English, mix)
  • Decision-maker versus influencer clarification
  • Key objection or concern raised and how it was addressed
  • Next agreed step and the date committed to
  • LINE account or contact preference for follow-up

For HubSpot contacts, notes complement the structured fields, phone, company, lifecycle stage, by capturing the unstructured context that fields cannot hold. A custom property can tell you a contact is in the “Proposal Sent” stage; a note can tell you they mentioned budget pressure from a parent company and want a revised scope by Friday.

How do notes work with tasks and deals?

Notes and tasks are related but different. A note records what happened or what you know. A HubSpot task records what needs to happen next, with a due date and owner. Use them together: log a note after every call or meeting, then create a task for the next step before you close the record.

On deals, notes are especially valuable during handoffs. When a deal moves from one salesperson to another, or from sales to account management, the note history carries the full context of what was discussed and agreed. Without it, the handoff requires the outgoing rep to brief the incoming one manually, which adds friction and introduces the risk of detail loss.

Can you use notes for internal coordination?

Yes. @mentioning a colleague in a note sends them a HubSpot notification and links them to the record. This is useful when you want to flag something without creating a task. For example: “Spoke with Khun Suporn, she mentioned a possible referral to another location. @jane, worth following up on your next call.”

Notes with @mentions are a lightweight way to pass context without switching to Slack or email for internal communication that belongs on the record anyway.

How do notes appear in reporting?

Notes themselves are not a standard reporting metric in HubSpot, but note volume per rep or per record can be tracked through custom activity reports. The more practical use is qualitative: during pipeline reviews, the notes on a deal tell you whether the relationship is active and what the real blockers are, which supplements the quantitative stage data.

In HubSpot’s contacts view, you can filter by “last activity type” to find contacts whose last activity was a note, which helps identify records that have been updated but not advanced.

What is the character limit for HubSpot notes?

HubSpot notes support up to 65,535 characters, which is more than enough for any practical use. You can also attach files to notes, screenshots, PDFs, or other supporting documents, which appear as attachments on the timeline entry.

FAQ

Can I edit a note after saving it?

Yes. Hover over the note on the timeline and click the edit icon. HubSpot does not show an edit history to other users, so treat notes as forward-facing logs rather than editable records you revise after the fact.

Are notes private?

By default, notes are visible to anyone with access to the record. HubSpot does not have a private note option at the record level. If you need to restrict access, use team-level permissions to control who can see particular record types.

Can notes be used in automation?

Notes can trigger workflows when they are created on a record. For example, you can set up a workflow that enrolls a contact into a follow-up sequence when a note is added to their record. This is an advanced use case, but it is supported through HubSpot’s workflow triggers under “Contact activity.”

What is the difference between a note and a log call?

A logged call creates a call activity entry with a duration, outcome, and optional recording. A note is free-form text. Use log call for structured call records and notes for additional context, observations, or anything that does not fit the call fields.

Do notes sync across associated records?

A note appears on every record it is associated with at the time of creation. If you add a note to a contact and associate it with a deal, it shows on both. It does not automatically sync to new associations added later.
