HubSpot Payments lets your team collect money inside HubSpot through payment links on quotes or checkout forms embedded in landing pages. The result is a single system where a prospect can receive a proposal and pay without switching to a separate tool.
Navigate to Settings > Commerce > Payment Processors. HubSpot supports Stripe and PayPal as the underlying processors. Connect an existing Stripe account or create one. Transactions settle to your Stripe account on Stripe’s standard payout schedule.
Free HubSpot portals can use basic payment links. To add payment checkout to quotes, you need Sales Hub Starter or above. Check your portal’s subscription under Account & Billing.
Open Commerce > Payment Links and click Create Payment Link. Enter a product name and price. An optional description field is available for additional context. Choose one-time or subscription billing. The link generates immediately and can be shared however you need it.
When building a quote, toggle on the Payment option in the quote editor. The buyer sees a checkout button at the bottom of the quote. Once they pay, HubSpot records the transaction and sends an automatic receipt to the contact. Any workflow triggered by the payment event fires at the same time.
In Workflows, use the trigger “Payment received” to kick off next steps: enroll the contact into an onboarding sequence or create an internal follow-up task.
What is HubSpot Payments?
HubSpot Payments is the payment collection layer inside Commerce Hub. It connects to Stripe as the processing backend. When a contact pays through HubSpot, the transaction records on the contact’s timeline and associated deal properties update automatically. Any workflows built on the payment event fire at the same time.
Three surfaces carry payments in HubSpot:
- Payment links: a shareable URL that opens a checkout page. Useful for deposits, one-off project fees, or retainer invoices.
- Quotes with payment enabled: a formal document where the buyer reviews, accepts, and pays in a single step.
- Landing pages: a payment form embedded directly into a HubSpot page using the page editor’s payment element.
All transactions appear in Commerce > Payments inside your portal. From there you can filter by status or issue a refund.
Who benefits most from HubSpot Payments?
Teams that close deals inside HubSpot and want to remove the manual step of issuing a separate invoice or redirecting contacts to a different billing portal tend to get the most from HubSpot Payments. Common use cases across Southeast Asia include:
- Collecting a deposit at the point of contract signing through a quote
- Billing for a monthly consulting retainer on a recurring schedule
- Taking registration or enrolment fees automatically during an email sequence
- Replacing manually generated PDF invoices with tracked payment links
HubSpot Payments is not a full accounting platform. Teams with complex invoicing needs or detailed tax reporting requirements typically connect HubSpot to Xero or QuickBooks via a native integration and use HubSpot Payments at the point of sale rather than for complete billing operations.
What does the buyer experience look like?
When a contact receives a quote with the payment option enabled, a checkout button appears at the end of the document. Clicking it opens a Stripe-hosted checkout form where the buyer enters card details. Card data is processed by Stripe; HubSpot stores the transaction record but not the raw payment credentials.
For standalone payment links, the flow is similar: a minimal checkout page tied to your portal. The buyer does not see an external payment gateway redirect in a way that disrupts the experience.
How does recurring billing work?
Subscription-type payment links let you bill contacts on a set cycle. You define the price and billing frequency when creating the link. The buyer enters their card once. HubSpot then charges automatically on each cycle and records every transaction on the contact’s timeline.
If a charge fails, HubSpot can trigger a workflow to alert your team or send the contact a payment-retry prompt. For teams selling monthly retainers, this removes the need for a separate subscription billing tool for straightforward recurring fees.
What are the transaction fees?
HubSpot adds a 0.5% transaction fee on top of Stripe’s standard processing rate, which varies by country and card type. In most Southeast Asian markets, the combined cost sits in the range of 2.5% to 3% per transaction. Weigh this against the time saved on manual invoicing before deciding whether it suits your billing volume.
How does payment data connect to the rest of your CRM?
Every payment attaches to a contact or deal record. Revenue data flows into HubSpot dashboards automatically, and you can segment contacts by payment status. Payment completion is also a valid workflow trigger. If you use HubSpot’s deal pipeline to manage your sales cycle, a completed payment can automatically advance the deal stage and enroll the contact into an onboarding sequence.
When combined with quotes, the full cycle from proposal to payment sits in a single place. Each stage records on the same deal record without manual data entry between tools.
Is HubSpot Payments available in Southeast Asia?
Availability depends on where your Stripe account is based. Stripe currently supports merchants across most major Southeast Asian markets. Visit Stripe’s country-specific documentation to confirm which card types and settlement currencies are available in your country before committing to this as your primary collection method.
Frequently asked questions
Can I issue refunds from inside HubSpot?
Yes. Go to Commerce, then Payments. Locate the transaction and click Refund. The refund processes through Stripe and appears as a note on the contact’s activity timeline.
Does HubSpot Payments replace an invoicing system?
For simple one-off or recurring charges, it can. For detailed invoicing with tax line items or multi-currency requirements, connecting HubSpot to Xero or QuickBooks is the more complete path.
What happens when a payment fails?
HubSpot logs the failed attempt on the contact record. You can configure a workflow to notify your team immediately or send the contact a link to retry with updated card details.
Do I need a paid HubSpot plan?
Payment links work on free portals connected to Stripe. Quote-based checkout requires Sales Hub Starter or above.
