HubSpot Playbooks give your sales and customer success teams step-by-step guidance directly inside contact, company, and deal records. When a rep opens a record, the playbook appears as an interactive panel they can follow in real time — call scripts, discovery questions, objection-handling notes, and data-capture fields that write answers back into the CRM automatically.
Teams across Southeast Asia use playbooks to cut ramp time for new hires, standardise discovery calls, and make sure every deal at the same stage receives consistent follow-up — regardless of which rep is handling it.
In your HubSpot portal go to Sales > Playbooks. The tool lives under the Sales Hub menu. If you do not see it, check that your seat type includes Sales Hub Professional or Enterprise.
Choose Start from scratch or pick one of HubSpot’s built-in templates (discovery call, cold call script, or objection handling). Templates are a useful starting point but you will need to adapt them to your process.
Use the rich-text editor to add sections — introduction, talking points, scripts, and notes. You can add headers, bullet lists, and tables. Keep each section short enough to scan during a live call.
Insert Ask a question blocks and map each answer to a CRM property. When a rep types the prospect’s budget range or timeline into the playbook, HubSpot writes that value to the deal or contact record automatically. No separate data-entry step needed.
Choose whether the playbook is available on contact records, company records, deal records, or all three. Then publish it. From that point it appears in the Playbooks panel on the right side of the relevant records.
What types of playbooks work well in HubSpot?
The three most common use cases:
- Discovery call playbook. A structured list of questions the rep works through on a first call — company size, current process, pain points, timeline, budget. Mapped to deal properties so the pipeline reflects what was actually discussed.
- Objection-handling playbook. A reference panel with pre-written responses to common objections: “We already have a solution”, “The price is too high”, “We need to check with the team”. Reps access it mid-call without switching tabs.
- Onboarding or handoff playbook. Customer success teams use these during kickoff calls — a checklist of questions to capture implementation details, preferred communication channels, and success metrics from the client.
You can also build playbooks for quarterly business reviews, renewal conversations, or upsell discussions. Any structured conversation where consistency matters is a good candidate.
How do playbooks connect to the rest of HubSpot?
Playbooks work alongside other Sales Hub tools rather than replacing them. A rep might open a deal record, check the pipeline stage to confirm where the conversation should go, launch the matching playbook, and then log a follow-up task before closing the record.
Because playbook answers write directly to CRM properties, they feed your reporting. If you capture “Budget” and “Timeline” via a discovery playbook, those fields become filterable in your HubSpot dashboards — so you can track how often budget conversations happen early in the pipeline, or filter deals by the timeline a prospect stated.
Who can access HubSpot Playbooks?
Playbooks are available on Sales Hub Professional and Enterprise plans, and on Service Hub Professional and Enterprise for customer success use cases. Users on Starter or Free plans do not have access to the playbook builder.
Visibility within the portal is controlled by the playbook’s settings. You can make a playbook available to all users or restrict it to specific teams — useful when your sales team and support team need different scripts for the same record type.
How do you keep playbooks up to date?
Playbooks need maintenance. A script that worked at launch will become stale as your product changes, your market shifts, or your team learns what objections actually come up. A practical cadence:
- Review discovery playbooks every quarter. Check whether the CRM-linked questions still map to the properties your reports rely on.
- Update objection-handling playbooks whenever the sales team flags a new objection pattern — or when a pricing or positioning change affects the standard responses.
- Archive playbooks for discontinued products or old processes rather than deleting them. Archived playbooks stay out of the active panel but remain searchable in history.
Can you track whether reps are using playbooks?
Yes. HubSpot logs playbook views and completion at the record level. In the contact or deal timeline you can see when a playbook was opened and which questions were answered. At the reporting level, you can filter contacts or deals by whether a specific playbook was completed — which is a useful proxy for call quality when you are trying to understand conversion rate differences across reps.
If you want to go deeper, set up a workflow that triggers when a playbook question is answered — for example, enrolling a deal into a follow-up sequence automatically once the discovery playbook is complete.
Frequently asked questions
Can I use playbooks on mobile?
Yes. The HubSpot mobile app (iOS and Android) surfaces playbooks in the record panel, so reps can reference them during in-person meetings or on-the-go calls.
Can playbook answers trigger automations?
Yes. Because playbook questions write to CRM properties, any workflow that uses those properties as triggers or conditions will fire when the answer is recorded. This makes it straightforward to automate next steps based on what the rep captured during the call.
How many playbooks can I create?
HubSpot does not publish a hard cap on playbook count, but the practical limit is manageability — too many playbooks and reps struggle to find the right one. Most teams organise by record type (contact, deal) and conversation stage rather than building a separate playbook for every scenario.
Do playbooks work with HubSpot’s AI tools?
HubSpot’s AI writing assistant (part of Breeze) can help you draft playbook content. You write the prompt, it generates a starting script, and you refine from there. This is particularly useful if you are building a large playbook library and want to move faster on the initial drafts.
