HubSpot Snippets: How to Create and Use Reusable Text Blocks in Sales

July 16, 2026 · 5 min read

If your sales team sends the same follow-up message or FAQ answer ten times a day, HubSpot Snippets can cut that repetition down to a few keystrokes. Snippets are short, reusable text blocks you create once and insert with a # shortcut anywhere in HubSpot — emails, notes, tasks, and the conversations inbox.

Here is how to set them up and get the most out of them.

1

Open the Snippets library

In HubSpot, go to Conversations > Snippets (or search “Snippets” in the top navigation). This is where all your snippets live and where you create new ones.

2

Click “Create snippet”

Give it a clear internal name (this is what your team searches for), write the shortcut — a short keyword prefixed with # that you type to trigger it — and write the snippet body.

3

Add personalisation tokens (optional)

Click the token icon to insert contact or company properties. A snippet like “Hi [Contact First Name], thanks for reaching out about [Company Name]” fills in the real values automatically when you insert it.

4

Save and test

Open a contact record, start composing an email or a note, type # followed by the shortcut you set. HubSpot shows a dropdown — click the snippet to insert it. Check that tokens populated correctly before sharing with the team.

5

Share with your team

Snippets are account-wide by default. Once saved, every connected user in the portal can access it — no need to send anything around.

What kinds of messages work well as snippets?

Snippets work best for text that is mostly consistent each time but benefits from light personalisation. Common examples for Southeast Asian sales teams:

  • First reply to a new enquiry — acknowledge the lead, set expectations on timing, ask one qualifying question.
  • Meeting confirmation follow-up — sent after scheduling, confirms the agenda and the call link.
  • Post-demo next steps — outlines the proposal timeline and who to contact with questions.
  • Common FAQ answers — pricing ranges, integration support, implementation timelines, trial access details.
  • Chaser messages at day 3, day 7, day 14 — polite follow-ups that do not read as automated.
  • LINE OA handoff message — if your team moves conversations from LINE to email or the HubSpot inbox, a snippet that introduces the CRM thread keeps handoffs consistent.

How do snippets differ from templates?

HubSpot has two similar tools. Knowing when to use each saves confusion:

  • Snippets — short reusable blocks inserted inline. No subject line. No tracking. Used to speed up writing inside an email, note, or chat message. The rep still writes the full email; snippets handle the repetitive parts.
  • Templates — full email drafts with a subject line, tracked opens and clicks, and a performance view. Part of the Sales Hub feature set. Used when you want to send a consistent email and measure whether the recipient opened it.

For quick FAQ replies and internal notes, use snippets. For structured outreach emails you want to measure, use templates.

Who can create and edit snippets?

Any user with the right permissions can create snippets. In most portals, Sales Reps can create personal snippets; team managers typically set up the shared library. If you want to limit who can edit existing snippets, check permissions under Settings > Users & Teams.

There is no hard cap on the number of snippets you can create. But a library of 80 poorly named snippets becomes unusable fast. A naming convention like #faq-pricing, #follow-day3, #confirm-demo keeps them searchable.

Can snippets be used in the conversations inbox?

Yes. If your team handles inbound chats or connected inboxes — email, Facebook Messenger, or LINE OA via the HubSpot LINE integration — inside HubSpot’s conversations inbox, snippets work there too. Type # in the reply field and the dropdown appears. This is useful for support teams handling high volumes of similar questions.

Tips for building a snippet library your team will actually use

  • Start with the messages your team sends most often. Ask reps to identify the five emails they copy-paste from their sent folder every week.
  • Use clear shortcut names. #faq is too vague; #faq-pricing-starter surfaces the right snippet immediately.
  • Review the library quarterly. Outdated pricing info or old product names in a snippet can reach a prospect unchanged.
  • Keep the body short. Snippets work best as one to three paragraphs — long snippets are harder to personalise and start to overlap with templates.

How snippets fit into a broader HubSpot workflow

Snippets handle the manual moments — the one-off replies that need a human touch but still involve repetitive phrasing. They sit alongside, not instead of, the automated tools:

  • HubSpot Sequences — automated multi-step outreach that runs without manual input after setup. Snippets are for conversations outside those sequences.
  • HubSpot Workflows — automated actions based on contact behaviour. Workflows run in the background; snippets are for when a rep is actively typing.
  • Conversations Inbox — where snippets are most visible for support and admissions teams handling inbound volume.

Setting up even five well-named snippets can take a sales team from copying old emails to responding within seconds. The goal is not to automate the personal interaction — it is to remove the friction so reps spend time on the actual conversation, not on retyping the same paragraph.

FAQ

Are HubSpot Snippets available on the free plan?
Yes. Snippets are available to all HubSpot users including those on the free CRM. The number of snippets and available personalisation tokens may vary by plan tier, but the core feature is accessible without a paid seat.
Can I use snippets in the HubSpot mobile app?
Snippet insertion works in the HubSpot mobile app for iOS and Android. Tap the # symbol in the compose field to bring up the dropdown.
Do snippets show up in reporting?
Snippets themselves are not tracked for engagement (opens, clicks). If you need that data, use a Template instead — Templates log opens and clicks against the contact record. Snippets are a composition tool, not a tracking tool.
What happens if I delete a snippet?
Deleting a snippet removes it from the library immediately. Messages already sent using that snippet are not affected — the text sits in the contact record as plain sent content. The shortcut just stops working for future use.
