Filtering Records In HubSpot

Whether you're organizing contacts, companies, deals, or any other object, advanced filters give you powerful control over how records are displayed. You can apply filters to object index pages or saved views to better focus on specific segments of data. 

How to Filter Records

1. Open the Records Page

  • Navigate to the object you want to filter (e.g., Contacts, Companies, Deals).

  • You can apply filters directly on the main index page or within an existing view.

2. Use Quick Filters

  • Above the table, click the property dropdown menus to apply quick filters.

  • On Starter, Professional, or Enterprise plans, you can customize these filters to include your most-used properties.

3. Use Advanced Filters

For more complex segmentation:

  • Click Advanced filters (top-right of the view).

  • In the right panel:

    • If quick filters are applied, they’ll appear at the top. Click Hide to remove them.

    • If the view has no filters, click to select a property to get started.

    • If filters already exist, click Edit filters.


Working with Filter Groups (AND/OR Logic)

  • Click + Add filter to add new criteria.

  • Use AND to include records that meet all selected conditions.

  • Use OR to include records that meet any of the conditions.

To duplicate an entire group, click the Clone icon above the group. This will copy the filter group with OR logic.

To remove a filter or group:

  • Click the delete icon on a property to remove it.

  • Click the delete icon above the group to remove all filters in that section.

When finished, click the X in the top-right of the panel. Filters will apply immediately, but they won’t be saved unless you explicitly save the view.


Saving, Resetting, or Clearing Filters

  • Save your filters as a view: Click the Save icon. Only the view creator can edit an existing view—others must clone it.

  • Reset view: Click the Reset icon to return to the saved view’s original filters.

  • Clear all filters: Click Clear all to remove all filters.


Available Filter Criteria Explained

HubSpot offers a range of filter types depending on the property you're filtering by:

Filter Type Description
contains exactly Value must exactly match entered text (use quotes for multi-word or special characters).
doesn’t contain exactly Value must not contain the entered text. Blank values are also included.
is For dates: filter by Today, Yesterday, Last quarter, etc.
is after / is before For dates: filter by a specific date on the calendar.
is between For dates: filter between two selected dates.
is equal to / is not equal to Match or exclude a specific value. “Not equal to” includes blank values.
is greater than / is less than For number fields: filter by numerical value.
is greater than or equal to / is less than or equal to Same as above, with inclusive boundaries.
is less than [x] days / is more than [x] days Date must fall before or after a specified range from today.
is any of / is none of Select multiple values. “None of” also includes blank values.
is known / is unknown Filter based on whether the field has a value.

Note: Some filters behave differently in Views vs Lists. For example:

  • contains exactly (used in Views)

  • contains any of (used in Lists)


Tips for Using Filters Effectively

  • Use quotes when filtering for exact matches with special characters.

  • Use AND to narrow results and OR to broaden them.

  • Clone a view instead of overwriting shared ones.

  • Regularly audit saved views to keep them relevant and usable.
