Create Meeting Scheduling Pages
In HubSpot, you can create personalized meeting scheduling pages to let contacts easily book time with you. You can customize your availability, form fields, automation.
Set Up Your Scheduling Page
1. Customize Scheduling Page URL

Set the scheduling page URL at the top. This will be the link contacts use to book time with you.

Only alphanumeric characters, hyphens, or underscores are allowed.

Once created, the URL cannot be edited.
If you have a Sales Hub or Service Hub paid seat, you can adjust the domain portion of the URL under your calendar settings.
Configure Your Scheduling Settings
Welcome (Optional for Round Robin Meetings)

Enable Prioritize Contact Owner to direct known contacts to their assigned owner's scheduling page.

Customize:

Page title and description.
-
Image (Default icon, Company avatar, or Custom image).

Schedule
-
Title: Name that appears above your calendar.

Duration: Select available meeting lengths. Add custom durations if needed.

Time zone: Set the time zone for your availability.

Availability window: Set available days and times.
-
Consider working hours: Turn on to respect working hours set in user profiles.
Contact’s device settings determine how they view your available times.
Additional Settings

Image on page: Organizer avatar, Company avatar, or Custom upload.

Scheduling window: Set how far in advance people can book.
-
Minimum notice time: Prevent last-minute bookings.

Buffer time: Add gaps between meetings.

Start time increments: Customize start intervals (e.g., every 15 minutes).

Booking page language: Select language (default to English if browser not detected).

Date and time format: Follows the selected booking page language.
Customize the Booking Form
Form

Default fields: First Name, Last Name, and Email are required.

Additional questions (Sales/Service Hub seats only):

Add custom text questions or contact properties.

Set fields as required or optional.

Spam protection:

Enable CAPTCHA.
-
Block free email domains or specific domains.

Guests: Allow invitees to add additional guests.
Privacy & Consent

If GDPR settings are turned on:

Collect communication consent.
-
Set legitimate interest or opt-in consent with customizable messaging.

Preview how consent appears.

Confirmation and Automation
Confirmation

Redirect to a HubSpot page or an external URL after booking.

If no redirect is set, HubSpot will show a default confirmation message.
Automation

Confirmation Email: Automatically sent after booking (can be disabled).

Pre-Meeting Reminders:

Send up to three reminders (e.g., 1 day before, 1 hour before).

Customize subject line and email body with personalization tokens.

Preview reminder emails.
