How to personal email to HubSpot

Supported Email Providers

  • Gmail/Google Workspace

  • Microsoft Outlook (Office 365)

  • Microsoft Exchange

  • Other email providers (IMAP)

Basic Connection Steps

  1. Go to HubSpot Settings

  2. Navigate to Email Integration settings

  3. Click "Connect your inbox"

  4. Enter your email address

  5. Select your email provider

  6. Follow provider-specific steps below

Provider-Specific Instructions

Gmail Connection

  1. Click "Connect to Gmail"

  2. Sign in to your Google account

  3. Review and accept permissions

  4. Wait for confirmation

Important Notes:

  • Gmail aliases will automatically appear in your email composer

  • Not compatible with Google's Advanced Protection Program

  • All emails will sync with HubSpot, including sent items

Microsoft Outlook (Office 365)

  1. Click "Connect to Outlook"

  2. Sign in to your Office 365 account

  3. Grant required permissions

  4. Verify connection

Important Notes:

  • Shared mailboxes are not supported

  • GCC High and DOD environments are not compatible

  • Supports modern authentication standards

Microsoft Exchange

  1. Prepare the following information:

    • Email address

    • Password

    • Username (usually part before @)

    • Exchange server URL (if required)

  2. Enter your credentials

  3. Optional: Enter Exchange URL if auto-discovery fails

Important Notes:

  • Requires Exchange 2010 SP2 or newer

  • For Exchange Online users: Use Outlook integration instead

  • Two-factor authentication requires app password

Other Email Providers (IMAP)

  1. Have your email credentials ready

  2. Enter email address and password

  3. If needed, provide:

    • IMAP server and port

    • SMTP server and port

    • Server username

Important Notes:

  • Not supported for HubSpot conversations inbox

  • Amazon SES and WorkMail are not supported

  • Two-factor authentication requires app password
