Setting Up Deal Pipeline automation

Automating actions when a deal moves from one stage to another helps your team stay efficient and consistent. Whether it's notifying the right person, assigning follow-ups, or triggering more complex workflows, HubSpot's automation tools can streamline your sales process.

Note: You must be a Super Admin or have Account access permissions to create deal stage automation.

Set Up Automation for Deal Stages

1. Access Deal Pipeline Settings

  • In your HubSpot account, click the settings icon in the top navigation bar.

  • In the left sidebar, go to Objects > Deals.

  • Click the Pipelines tab.

  • From the Select a pipeline dropdown, choose the pipeline you want to automate.

2. Open the Automation Panel

  • Click the Automate tab.

  • If the Create workflows from scratch section is collapsed, click to expand it.

3. Add Actions to a Deal Stage

  • In the Trigger actions when a deal moves to a new stage section, click the ➕ (plus) icon next to the deal stage where you want to add automation.

4. Choose and Configure Your Action

In the right panel, choose the automation type:

  • Send internal email notification
    Set who should receive the email and customize the content. Click Save.

  • Create task
    Enter the task name, assign it to a user, and define due dates or priority. Click Save.

You’ll also see advanced options like:

  • Delays

  • If/then branches

  • Email or SMS sends

  • Property updates

  • Webhook triggers

  • And more...

Configure your selected action, then click Save.

Manage Your Deal Stage Automation

  • Edit an action: Click the action bubble. Make updates in the right panel, then click Save.

  • Leave a comment: Hover over an action and click the comment icon to share notes with your team.

  • Delete an action: Hover over the action, click the trash icon, then choose:

    • Delete this action only

    • Delete this action and all following actions

  • Access the full workflow editor: Click Open in Workflows below the stage's actions to add more advanced steps and configure workflow settings.
